Lead

An unqualified prospect record in Dynamics 365 Sales — typically created from inbound inquiries, before becoming a Contact and Opportunity.

A lead in Dynamics 365 Sales (and the wider CRM-side Dynamics 365 stack) represents a prospect who has shown interest but hasn't yet been qualified as a real sales opportunity. Leads come from inbound channels — website forms, marketing campaigns, events, purchased lists, business cards, partner referrals — and deliberately live in a separate table from Contacts and Accounts, so unqualified noise (a one-time form-fill with no follow-through, a business card from a conference that never turns into anything) doesn't pollute the CRM's actual relationship records. A lead has minimal mandatory fields — name, contact info, company, source — reflecting that most of what's known about a fresh lead is exactly that little.

In practice, the separation between leads and the rest of the data model exists to protect data quality upstream of the pipeline. Marketing can pour in thousands of leads from a campaign without any of them touching Account or Contact records until a salesperson actually works and qualifies one; the CRM's core relationship data stays clean regardless of how noisy or low-quality the top of the funnel gets. Qualification is the pivotal moment — a qualified lead converts into a Contact (and optionally an Account, if the company doesn't already exist as one) plus an Opportunity, carrying its source and history forward so the sales team never loses track of where a deal originated. Lead scoring, whether manual or AI-assisted, exists specifically to help a sales team prioritise which leads to work first rather than qualifying in the order they arrived.

Where confusion shows up: disqualified leads are sometimes deleted outright rather than retained, which throws away exactly the data (why did this lead not convert, what source produced the most disqualifications) that marketing needs to improve targeting over time — the standard practice is to mark a lead as disqualified with a reason rather than delete it. It's also worth knowing that some organisations skip the lead stage entirely and qualify prospects directly on Contacts — a legitimate choice for a business where every inbound inquiry is already a known, real company rather than a cold, unqualified contact, but one that trades away the clean separation leads otherwise provide.
