Copilot Studio

By Emil Björk · Microsoft business apps consultant, Gothenburg

Microsoft's low-code platform for building AI agents that read and write Dynamics 365 and other systems.

Microsoft Copilot Studio is the low-code platform for building AI agents — conversational and increasingly autonomous — that integrate deeply with Dynamics 365 and the rest of the Microsoft cloud. Successor to Power Virtual Agents, with a much heavier generative AI core. An agent is configured with a role, knowledge sources (Dataverse tables, SharePoint, websites, documents), actions (the operations it can take via connectors), and channels where it publishes (Teams, web, Power Pages, Omnichannel, WhatsApp, others). It combines deterministic topics with generative answers for the long tail. The standard way to extend Dynamics 365 with custom AI.

In practice, most agents combine both response modes rather than picking one: topics handle the small number of high-value, precisely-worded interactions where a wrong answer would be embarrassing (a refund policy, an escalation trigger), while generative answers grounded on knowledge sources handle the long tail of phrasings a maker could never anticipate one by one. Getting this split right — narrow, well-tested topics for anything that must be exact, generative answers for everything else — is the difference between an agent that feels reliable and one that feels like a chatbot guessing.

Where confusion shows up: publishing an agent updates its own runtime, but each channel (Teams, a website embed, a Dynamics 365-embedded surface) picks up that published version somewhat independently — a successful publish doesn't guarantee every channel reflects it instantly, which is why testing on the actual channel end users reach matters as much as testing in the maker portal's test pane. Copilot Studio and the app-embedded Copilots inside Sales or Customer Service are also easy to conflate: the app-embedded ones are Microsoft-built and included with the app licence, while a Copilot Studio agent is something a maker builds and licenses separately.
